Free Cleaning Invoice Template (and what to put on it)
What should a cleaning invoice include?
A cleaning invoice lists your business name and contact details, the client's name and address, the service date, the scope as it was quoted, the price, payment terms, the due date, how to pay, and an invoice number. If it matches the quote line for line, there is nothing for the client to question.
You finished the job. Now the client needs a clear bill, and you need to get paid without a back and forth. The invoice is easy when the quote was clear, because most of it is already written.
What goes on a cleaning invoice
- Your business name, phone, and email. The same as on your quote.
- Invoice number and date issued. So you and the client can find it later.
- Client name and service address.
- Service date. The day the clean happened.
- Scope as quoted. For example: “Standard clean, 3 bed / 2 bath.”
- Price. The quoted price, plus any extra that the client agreed to before the work.
- Payment terms and due date. For example: due on receipt, or due in 7 days.
- How to pay. The methods you take.
- A short note. Thanks, and when the next visit is if they are recurring.

Note: [thank you / next visit]Match the invoice to the quote
The invoice should read like the quote with a service date and a due date added. Same scope words, same price. If something was added on the day, list it as its own line and only if the client agreed to it first.
This is why the quote matters more than the invoice. A clear quote with the scope written down turns the invoice into a copy job. A vague quote turns the invoice into an argument.
Payment terms in plain words
Write the terms so nobody has to guess: “Due on receipt” or “Due within 7 days of the service date.” Put the due date as a real date too. Whatever terms you pick, put the same terms on every invoice.
For tax, sales tax, or late fee questions, check with your accountant. Rules differ by state and city.
Recurring clients
For weekly or every two weeks clients, keep the scope line identical each visit and list the service date clearly. Some owners send one invoice per visit, others one per month listing each visit. Pick one and say which on the quote, so the client is not surprised.
Common invoice mistakes
- Missing service date. The client cannot match it to a visit.
- Scope drift. The invoice says something different from the quote.
- No terms. “Whenever” is not a due date.
- No invoice number. Hard to track what is paid.
- Extras the client never agreed to. Ask first, then bill.

Questions owners ask
- Is this cleaning invoice template free?
- Yes. Copy the layout above into any document or spreadsheet and fill in your details.
- Does Binderlane send invoices?
- No. Binderlane is for the quote: it organizes your pricing math and sends a branded quote link. Use whatever you already use for invoices.
- What is the difference between a quote and an invoice?
- A quote is sent before the job and says what you will do and what it costs. An invoice is sent after the job and asks to be paid for what was done. The scope and price should match.
- Should I charge sales tax on cleaning services?
- It depends on your state and city. Check with your accountant before you add it to your invoices.
- When should I send the invoice?
- Many owners send it the same day the job is done, while the visit is fresh for the client. Whatever you pick, keep it consistent.
- What payment terms should I use?
- That is your call. Common choices are due on receipt or due within a set number of days. Write the terms and the actual due date on every invoice.
